How clients earn & redeem stamps

Once your program is active, earning and rewarding happen on their own. Here's exactly how a stamp turns into a reward, and how that reward gets used.

How clients earn stamps

  • Automatically, per visit. When an appointment is marked completed, the client earns one stamp — no manual step needed.
  • Manually, when you choose. Staff with the rewards permission can add stamps by hand (for example, to fix a missed visit) from the client's record.

A few program settings shape earning, all under Fine print & defaults when you set up the program:

  • Minimum spend — if set, a visit only earns a stamp when the client spends at least that amount (0 means no minimum).
  • Maximum stamps per day — caps how many stamps a client can earn in a single day (defaults to one).

How rewards are issued

When a client's stamp count reaches a milestone you've set, SalonHub360 issues a reward voucher to that client automatically. The client is notified by email and/or text (depending on the contact details and consent on file), and the voucher lands in their account ready to use.

Earned vouchers stay valid for the expiry window you set during setup (90 days by default), then expire if unused.

How clients redeem a reward

  • Clients see their stamp card, progress to the next reward, and any earned vouchers in the Customer Portal under their rewards. They can show that screen at the salon when they check out.
  • You apply the reward at payment time: when you take a payment for an appointment with the client attached, a Rewards & Benefits panel shows their available vouchers. Toggle the voucher on and it applies as a discount line on that payment.

Note: Rewards are stamps and perks only — a voucher is a discount or a free service, never a cash balance, store credit, or anything a client can top up or cash out. For prepaid value clients can spend, use Gift Cards instead.
